Review AI recommendations in SmartRoster

How to review, accept, and reject the Roster agent's recommendations in SmartRoster, including understanding recommendation categories, action types, and how to generate additional suggestions.

After running SmartRoster, the Roster agent produces a list of recommendations based on its analysis of the generated roster. You review these recommendations from the SmartRoster dashboard and decide which to accept or reject. No recommendations are applied automatically.


Recommendation categories

The Roster agent groups recommendations by the type of issue identified.

Category

Issues the Roster agent identifies

Coverage gaps

Periods where staffing falls below the demand defined by Staffing Demand rules.

Working Time Directive (WTD) compliance

Rest period breaches, maximum weekly hours breaches, and other WTD rule violations.

Contract hours deviation

Employees scheduled for significantly more or fewer hours than their contracted hours.

Availability conflicts

Employees scheduled on days or times where they have recorded unavailability.

Cost and budget alignment

Roster cost exceeding the configured budget threshold.

Fairness distribution

Imbalances in the allocation of desirable and undesirable shifts across the team.


Action types

Each recommendation includes a suggested action. The Roster agent may recommend one of the following.

Action type

Description

Swap shift

Swap the shift between two employees to improve coverage, fairness, or compliance.

Change shift

Replace an employee's shift with a different shift pattern.

Add shift

Schedule an employee on a day they are currently not rostered.

Remove shift

Remove an employee's shift to address overstaffing or a compliance breach.


Review and action recommendations

Recommendations are displayed in the Pending tab of the Recommended Actions panel, grouped by employee.

  1. On the SmartRoster dashboard, select Recommended Actions.

  2. Select the Pending tab to view outstanding recommendations.

  3. For each recommendation, review the suggested action and the reason provided by the Roster agent.

  4. Select Accept to apply the recommendation to the roster, or Reject to dismiss it.

  5. Accepted changes are applied to the roster immediately. Rejected recommendations move to the Completed tab.

📌Note: Accepting a recommendation updates the roster but does not publish it. You must still publish the roster using the Publish Roster button in Roster Details when you are ready for employees to see the changes.


Generate more suggestions

Once all pending recommendations have been actioned, the Roster agent can generate an additional set of suggestions. This allows you to request further analysis if you want to explore more potential improvements.

  1. Action all recommendations in the Pending tab.

  2. Select Generate More Suggestions.

  3. The Roster agent performs a further analysis and adds new recommendations to the Pending tab.
