SmartRoster overview

An introduction to SmartRoster — the AI-powered workforce scheduling intelligence layer in PeopleXD Evo, its three core elements, and how it fits into the roster workflow.

SmartRoster is an AI-powered workforce scheduling intelligence layer built on top of the PeopleXD Evo platform. Rather than replacing the existing roster build process, SmartRoster sits above it and adds intelligent analysis, recommendations, and optimisation to the roster output.


The three elements of SmartRoster

SmartRoster is made up of three distinct elements, each with a specific role in the scheduling process.

What it does

Roster generation engines (AutoRoster and OR-Tools)

Build the roster itself. OR-Tools is a deterministic mathematical constraint solver — it does not learn, predict, or adapt.

Roster agent

The AI layer that analyses a completed roster and produces recommendations. This is the only element that uses a large language model.

Dashboard

The user interface that displays KPI tiles and the Roster Confidence Score, and through which the manager reviews and actions the Roster agent's recommendations.


Roster build methods SmartRoster works with

SmartRoster is designed to work with rosters built in any of three ways.

Build method

Description

Manually built rosters

Rosters created by managers directly within Workforce Management, without using an automated scheduling engine.

AutoRoster

Rosters generated by the existing AutoRoster constraint-based scheduling engine.

OR-Tools

Rosters generated by the OR-Tools mathematical constraint solver, introduced as an alternative to AutoRoster.

Regardless of how the roster is built, the Roster agent analyses the completed output and identifies issues across multiple categories: coverage gaps, Working Time Directive (WTD) compliance breaches, contract hours deviation, availability conflicts, cost and budget alignment, and fairness distribution.


How SmartRoster fits into the roster workflow

SmartRoster operates as the final stage of the roster build process, regardless of which build method was used.

  1. The roster is built — either manually by the manager, by AutoRoster, or by OR-Tools.

  2. The Roster agent receives the completed roster and performs an AI-driven analysis.

  3. The Roster agent identifies issues across multiple categories: coverage gaps, WTD compliance breaches, contract hours deviation, availability conflicts, cost and budget alignment, and fairness distribution.

  4. The Roster agent produces categorised recommendations. None are applied automatically — the manager must approve or reject each one.

  5. The manager reviews the summary, accepts or rejects suggestions, and publishes the roster.

📌Note: From the end user's perspective, the SmartRoster analysis is seamless. The user initiates the SmartRoster process and receives the completed analysis.
