Use roster attributes in Workforce Management

Assign, view, filter and report on roster attributes in Access Workforce Management, and configure attributes and attribute groups for your team areas and employees.

Roster attributes let you label an employee's scheduled pattern with the job or task they are assigned to complete, such as Cashier, Floor, Security or Training. You can assign a default attribute to each employee, override it at day level, view and filter by attributes on the Roster Details screen, and report on attribute data via CoreInsight. This article covers everything you need to manage roster attributes, from initial configuration through to day-to-day use.

You'll need Team Manager access to assign and maintain roster attributes. An administrator must enable the Roster Attribute Active parameter before the feature is available.

What is a roster attribute?

A roster attribute is a label applied to an employee's rostered pattern to identify the job or task they are scheduled to complete for that pattern. Attributes are user-defined — examples include Cashier, Floor, Security and Training.

Roster attributes give you the ability to:

  • Assign attributes to employees at employee level, pattern level, or across multiple employees in a team area.

  • View each employee's assigned attribute on the Roster Details screen.

  • Identify what job or task an employee is scheduled to complete by their attribute.

  • Filter the Roster Details screen by one or more attributes.

  • Report on attribute data in CoreInsight.

There are some current restrictions you should be aware of:

  • You cannot set up a demand rule based on an attribute (Phase 1 only).

  • Each employee can only have one attribute assigned per pattern — patterns cannot be split across multiple attributes.

  • Attributes are not displayed or maintained in HR Admin.

  • AutoRoster and Uncovered Shifts cannot be used against an attribute (Phase 1 only).

📌Note: This feature is delivered in two phases. Phase 1 covers the fundamental ability to assign jobs and tasks to employees. Phase 2 will extend attribute support to AutoRoster, Rules, Statistics and Uncovered Shifts screens.


Enable roster attributes

One parameter controls access to all roster attribute functionality across every screen. You must enable it before attributes can be assigned or viewed.

  1. Quick jump to Roster Links.

  2. Click Open General Settings.

  3. Turn on the Roster Attribute Active indicator.

  4. If you want attributes to display on rest days, turn on the Display Attribute on Rest Days indicator.

  5. Click Save.


Create attributes and attribute groups

You create and manage attributes via the Roster Attribute Setup wizard, which walks you through three steps. You do not need to complete every step each time — you can follow each step individually, and you can reuse existing attributes and groups.

Create an attribute

  1. Quick jump to Roster Links.

  2. Click Open Roster Attribute Setup.

  3. Select the Add button to create a new row.

  4. Enter the attribute code.

  5. Enter the attribute description.

  6. Click Save.

  7. Select Next to move to Step 2 — Create Group.

Create an attribute group

  1. Select the Add button to create a new row.

  2. Enter a description for the new group.

  3. Click Save.

  4. Select Next to move to Step 3 — Assign Attribute.

Assign attributes to an attribute group

  1. Select the required attribute group from the drop-down list.

  2. Select the Add button to create a new row.

  3. Select the required attribute from the drop-down list.

  4. Click Save.


Assign attribute groups to team areas and employees

Attribute groups filter which attributes are available for selection when assigning to employees and team areas. If no attribute group is assigned, all attributes are available.

Assign an attribute group to a team area

  1. Quick jump to Team Area Configuration.

  2. Specify the team area.

  3. Click Open General Parameters.

  4. Select the required attribute group from the drop-down list.

  5. Click Save.

Assign an attribute group to an employee

  1. Go to Back Office > CoreTime/CoreRoster > Pers Data > Person Maintenance.

  2. Specify the person.

  3. Select Rostering from the Select Detail menu.

  4. Select the required attribute group from the drop-down list.

  5. Click Save.


Assign roster attributes to employees

You can assign attributes at employee level (setting a default for all patterns), at individual pattern level (overriding a single pattern), across multiple employees in a team area, or across an entire week using the weekly view.

Assign a default attribute at employee level

A default attribute applies to all of an employee's patterns from the start date you specify. Each employee can only have one open-ended attribute at any one time.

  1. Quick jump to Roster Details.

  2. Click on the employee name you want to add the attribute to.

  3. Select Person Attributes from the options.

  4. Select Add to create a new row.

  5. Select an existing attribute from the drop-down list.

  6. Select a start date from the calendar.

  7. If required, select an end date from the calendar.

  8. Click Save.

When you return to the Roster Details screen, you'll see the default attribute displayed on the employee's patterns from the effective date.

Override an attribute for one pattern

Use this option to change the attribute for a single pattern without affecting the employee's default.

  1. Hover over the employee pattern you want to change.

  2. Select Change Roster.

  3. Select the required attribute from the Attribute drop-down list.

  4. Click Save.

📌Note: The attribute list is filtered by the attribute group assigned to the employee or team area. If no group is assigned, all attributes are available in the drop-down list.

Update attributes for multiple employees

Use Change Roster – Many to update the attribute for multiple employees in a team area at the same time.

  1. Quick jump to Roster Details.

  2. Click the Actions button.

  3. Select Change Roster.

  4. Select the required attribute from the Attribute drop-down list.

  5. Click OK.

  6. Select the applicable employee shifts.

  7. Click Save.

  8. Ensure the correct attribute is selected on the Change Roster screen, then click Save.

  9. Click OK to confirm, if prompted.

  10. Return to Roster Details, click the Actions button, and select Refresh This Week.

Update attributes for the week — weekly view

The weekly view lets you update attributes for all seven days in a single save, making it quicker to maintain attribute data across the week.

  1. Quick jump to Roster Details.

  2. Click on the employee's name.

  3. Select Assign Attributes.

  4. Click Assign on the applicable day.

  5. Select the required attribute from the Attribute drop-down list.

  6. Click OK.

  7. Repeat steps 4 to 6 for all required days.

  8. Click Save.


Filter the roster by attribute

You can filter the Roster Details screen by one or multiple attributes. When the filter is active, only employees with the selected attribute on that day are displayed — employees assigned a different attribute are hidden from the view. A count of active filters is displayed on screen.

⚠️Important: The attribute filter cannot be used to re-order the screen. The Attribute column always remains in its last available position and cannot be moved higher.

  1. Quick jump to Roster Details.

  2. Click the Day view.

  3. Select the filter button.

  4. Select the Attribute filter.

  5. Enter the required attribute name in the field and select it from the results.

  6. To add more attributes to the filter, select them from the drop-down list.

  7. Click Apply.


Report on roster attributes

Roster attribute data is available to report on in CoreInsight, under the Core Time area. When creating a report, join the Person Day view with the Roster Attribute views.
