If a WFM dashboard widget shows no data after being added, or an Insight report is missing employee data for some or all managers, the cause is almost always a configuration gap in access, work group assignment, or report settings. You'll need WFM Admin access to complete most of these checks. Work through the relevant section below to identify and resolve the cause.
WFM dashboard widgets showing blank or no data
After adding a widget to the WFM dashboard, it may appear blank or show no data. Work through the checks below in order.
Confirm the user is set up in WFM System User Configuration
Widgets that surface WFM data — such as task details, timesheet summaries, and sign-off queues — require the user to exist as a system user in WFM with the correct access type.
Go to WFM Admin Dashboard from the dashboard menu.
Click WFM Configuration, then click WFM System User Configuration.
Search for the relevant user.
If the user is not listed, click Create New User.
Select Portal Access from the Access Type list.
Select the employee from the Person list.
Select the relevant Company.
Click OK.
📌Note: The employee must already exist in PeopleXD to appear in the Person list.
Confirm work group and department access
Go to WFM System User Configuration.
Search for the manager.
Click the three-dot menu.
Select View/Edit.
Open the Access Details tab.
Check the Assigned Departments column for correct work groups and departments.
If missing, click Add.
Select the required work group.
Select the relevant departments.
Click the right arrow to move them into Assigned Departments.
Click Save.
Ask the manager to refresh their dashboard.
Confirm the employee's work group on their contract
Go to People Management.
Search for the affected employee (switch search to All or Dormant if needed).
Click View, then click Contracts.
Select the relevant contract.
Click Update.
Confirm the Work Group is correct.
Set the Effective Date to the most recent start date.
Complete any mandatory fields.
Click Save.
📌Note: If the employee has multiple contracts, check each one. The work group on the active contract is what controls manager visibility.
Insight reports missing employee data for managers
When an Insight report shows data for some managers or employees but not others, there are several distinct causes. Work through the sections below to identify which applies.
Cause 1: Report filters are hiding employees
Go to Insight from the dashboard menu.
Click Admin Area in the left panel.
Search for the report.
Click Manage Report.
Select Filters from the settings dropdown.
Review filters and disable any that may exclude employees.
Re-run the report.
Cause 2: Manager does not have correct work group or MSS access
Add work group access
Go to WFM Admin Dashboard.
Click WFM Configuration.
Click WFM System User Configuration.
Search for the manager.
Click the three-dot menu.
Select View/Edit.
Open Access Details.
Add required work groups and departments.
Click Save.
Add MSS access
Open the manager’s record in WFM System User Configuration.
Confirm Access Type is Manager Self Service.
If not, update it.
Click Save.
Cause 3: Employees still linked to previous manager after handover
Confirm report Access Type is set to Manager Direct Reports.
Go to CorePersonnel > Maintenance > Appointment History.
Open the commenced appointment for the affected employee.
Confirm Work Group matches the new manager’s work group.
Go to Maintain Org Roles.
Search for the new manager.
Confirm Reports To role is assigned correctly.
If previous manager role is still active, end it with today’s date.
Assign the new manager with correct Date From.
📌Note: If the client parameter 'Hide all information when viewing employees you no longer have access to' is enabled, future appointments may not be visible to the new manager until the org role change is correctly in place.
Cause 4: Report includes non-personnel views without an outer join
If a report pulls data from both personnel views (such as HR Person Master) and payroll or UDF views (such as Person Master (Pay) or Person Profile Details (Pay), employees without records in the second view are excluded entirely. This is not a permissions issue — it is a report configuration issue.
Identify columns sourced from payroll or UDF views.
Click Clone Report.
Open the cloned report.
Remove or replace non-personnel view columns where possible.
Check whether an outer join can be enabled.
Save and re-run the report.
📌Note: If you are unsure which views are causing the exclusion, raise a support case and reference this article. Include the report name and a list of the columns that are missing data.
Cause 5: Report Access Type is set incorrectly
If the Access Type in the report settings does not match how the report is being used, data will not display correctly.
Run the report.
Open Settings from the left panel.
Select Access Type dropdown.
Choose one of the following:
Manager Direct Reports
HR Access
Click Save.
Re-run the report.
When to speak to support
A widget remains blank after all the checks above have been completed.
An employee is still missing from the report after org role and work group assignments have been corrected.
You need guidance on enabling an outer join for a specific report configuration.
The issue affects multiple managers and appears to have started after a system update.
📌Note: Include the report name or widget name, the affected manager's name, and the names of any employees who are missing. This speeds up investigation significantly.
