After enabling menu profiles and permissions, a user may still encounter blank screens, missing menus, or an inability to view employees. This usually means a step in the access configuration chain has been missed. Administrator access is required to complete each configuration step.
📌Note: Access in PeopleXD works in layers — menu profiles control which screens appear, personnel access controls which employees are visible, and WFM system user configuration controls what data a user can interact with. All three must be correctly configured.
Confirm the correct menu profiles are assigned
A blank screen or missing menu option usually means the relevant menu profile has not been enabled.
From the dashboard menu, select Security, then click User Management.
Search for the user and click the three-dot menu.
Select Manage Account, then click Menu Profiles.
Search for the relevant profile (for example, WFM_ADMIN_DASHBOARD for the WFM dashboard, or COREPORTAL_EMPLOYEE for standard employee access).
Turn on the Enable toggle.
Log out and log back in. Menu profile changes require a fresh login to take effect.
📌Note: If the user sees a 'Page Not Found' error on login, the COREPORTAL_EMPLOYEE menu profile is likely missing. Add and enable it following the steps above.
Check that the menu profile was not removed by onboarding settings
If a menu profile keeps disappearing after being assigned, the cause may be the cp_onboardingmenuprofile parameter in Admin Settings. This parameter automatically assigns a menu profile when onboarding is complete, and removes it if onboarding is still in progress.
From the dashboard menu, go to Administrator Dashboard.
Click Admin Tools, then click Admin Settings.
Search for cp_onboardingmenuprofile.
Check which menu profile is referenced and confirm the user's onboarding is complete.
If onboarding is incomplete, complete or bypass it before re-assigning the menu profile.
Confirm HR personnel access
An HR user who cannot see any employees has the menu profile in place but is missing personnel access — the permission that determines which employee records they can view.
From the dashboard menu, go to Data Centre.
Click View All, then select HR User Access (Basic).
Search for the user.
Select the relevant Structure Code and Structure Level.
Turn on the Active toggle, or click Enable All to grant full access.
Save the changes.
📌Note: If the HR user should only see a subset of employees, configure the Structure Code and Level carefully. Enable All grants access to all employees in the system.
Confirm WFM System User Configuration and Access Details
For users accessing WFM-specific screens (timesheets, hours approval, roster), they must also exist in WFM System User Configuration with the correct work group and department access. Menu profiles alone are not sufficient.
Go to WFM Admin Dashboard, then click WFM Configuration.
Click WFM System User Configuration and search for the user.
If the user is not listed, click Create New User, set the Access Type, and select the employee.
Click the Access Details tab and confirm the correct work groups and departments are assigned.
If missing, click Add, select the work group and departments, and click the right arrow to assign them.
Save the changes.
Access Details vs. Access Privileges
These two tabs are commonly confused:
Access Details controls which work groups and departments the user can see employee data for.
Access Privileges controls what actions the user can take (for example, Approve Hours, Sign Off Hours, Ignore Data Entry Restriction).
⚠️Important: A user with no team areas assigned under Access Details will have no data visibility in WFM, regardless of what Access Privileges are set.
Confirm pay group access for payroll-related screens
If a user can see employees generally but specific payroll screens show no data, they may be missing pay group access.
From the dashboard menu, go to Data Centre.
Click View All, then select HR User Access (Basic).
Find the user and check whether the relevant pay groups are included in their access.
Add the missing pay group access and save.
Check for a record lock preventing access
The error 'Could not reserve record' means the record is locked because another user or process is accessing it. This is not a permissions issue.
Wait for the lock to be released — locks are typically released within an hour.
If the lock persists, ask a security administrator to release it manually.
Avoid multiple users attempting to open the same record simultaneously.
When to speak to support
A user cannot see any screens after all menu profiles, HR access, and WFM system user configuration have been confirmed correct.
A menu profile keeps disappearing and the onboarding parameter does not explain it.
A record lock persists beyond a reasonable time and cannot be released.
Access was working previously and has stopped without any configuration changes being made.
