Absence Trigger Points in Workforce Management allow the system to automatically send email notifications and display dashboard widgets when an employee's absence pattern meets a defined rule, such as a set number of absence instances within a period. This article explains what trigger points can do, how to configure recipients, and how to add the trigger point widget to dashboards.
đNote: WFM Absence Trigger Points are separate from People Analytics (Premium) metric trigger emails, which monitor data metrics across your organisation. This article covers WFM Absence Trigger Points only.
What Workforce Management Absence Trigger Points can do
Workforce Management Absence Trigger Points allow you to:
Define rules based on absence occurrences (for example, a set number of separate absence instances within a rolling period).
Send automatic email notifications to people in defined organisational roles when a trigger point rule is met.
Display a dashboard widget showing employees who have met a trigger point rule.
đNote: If you require more complex absence monitoring â for example, tracking three separate instances of sickness absence within a rolling 12-month period with custom reporting â this is best handled via an XD Insight report created by the Optimisation Services team. Contact your Customer Success Manager to involve the Optimisation Services team.
Configure who receives trigger point email notifications
Trigger point email notifications are sent based on Organisational Roles assigned to the trigger point rule grouping. The default recipient is typically the employee's manager, but this can be changed to other roles within your organisation.
To configure the notification recipients:
In CorePortal, go to Administrator Dashboard > Trigger Points > Rule Grouping.
Select the relevant rule grouping.
Select Notification Details.
Under Organisational Roles, add or update the role(s) that should receive the notification.
Select Save.
â ď¸Important: Trigger point emails can only be sent to recipients defined by an Organisational Role. It is not possible to send a trigger point email to an individual named person who falls outside the configured roles.
Add the Trigger Point widget to a dashboard
The Trigger Point Employee Notification Widget can be added to dashboards to display employees who have met a trigger point rule. The widget can be enabled for specific users so that relevant people â not just the employee's direct manager â can see trigger point data on their dashboard.
To enable and add the widget:
Ensure the CorePortal - Trigger Points - Employee Notification Widget menu option is enabled for the relevant user or menu set in the Administrator Dashboard.
The user can then add the widget to their dashboard from their dashboard configuration options.
đNote: For further guidance on placing the widget, refer to section 5.1 of the WFM Trigger Points user guide.
Activate Trigger Points for your company
If Trigger Points have not been activated for your company, notifications and widgets will not work. To activate them:
Go to CoreTime > System Params > Reference A-C > Control Parameters.
Select your company.
Select Trigger Point Groups.
Select the Activate Trigger Points checkbox.
Select a default code.
Select Save.
