Configure absence reason codes

This guide explains how to create and configure Absence Reason Codes in Workforce Management (WFM), including how to link them to Pay Codes.

Absence Reason Codes allow you to capture the specific reasons for employee absences. These codes are grouped together into Reason Code Groups and linked to Pay Codes to ensure accurate reporting and compliance.

How to create an absence reason code

  1. From the dashboard menu, click WFM Admin Dashboard.

  2. Select WFM Configuration, then click Reason Codes and Groups.

  3. Click Add.

  4. Enter a unique Reason Code and Description.

  5. Set the Type to Absence.

  6. Click OK to save the new Reason Code.


How to add the reason code to a reason code group

  1. From the Reason Codes and Groups screen, select the Reason Code Groups tab.

  2. Use the Group Code drop-down menu to select the group you want to add the new Reason Code to.

  3. Click Add.

  4. Click Save to confirm.


How to link the reason code group to a pay code

  1. From the dashboard menu, click WFM Admin Dashboard.

  2. Select WFM Configuration, then click Pay Codes.

  3. Next to the relevant Pay Code, click the three-dot menu and select View/Edit Pay Code.

  4. From the Reason Group drop-down box, select the appropriate Reason Code Group.

  5. (Optional) Enable the Requires Reason toggle if you want to make selecting a reason mandatory when booking this absence.

  6. Click Save.
