How to Configure Pay Code Groups in WFM

This guide explains how to set up Pay Code Groups and assign them to employees in WFM.

Using Pay Code Groups helps ensure that employees only have access to the correct set of pay codes for booking leave or other payroll-related activities. This guide will take you through the process of creating and assigning Pay Code Groups.

How to Create a Pay Code Group

  1. Go to the WFM Admin Dashboard.

  2. Select WFM Configuration.


Create the Group

  1. Search for and click the Pay Groups tile.

  2. Click Add Group.

  3. Enter a Group Code and Description.

  4. Click OK.


Add Pay Codes to the Group

  1. Click Add.

  2. Use the drop-down menu to search for and select the relevant pay code.

  3. If you want the pay code to be View Only, enable the toggle.

  4. Repeat the process to add as many pay codes as required.

  5. Once finished, click Save.

πŸ“ŒNote: Creating a Pay Code Group does not automatically assign it to employees. You must assign the group manually using the steps below.

How to Assign a Pay Code Group to an Employee

  1. Open the People Management Dashboard.

  2. Use the Command Centre widget and click View next to Employees.

  3. Search for and select the relevant employee.

  4. Click View.


Assign the Pay Code Group

  1. Go to the Pay Codes Access Groups tab.

  2. Click Add.

  3. Select the relevant Pay Code Group from the drop-down menu.

  4. Under Assignment Level, choose either:

    • Appointment – if you want to assign the group to a specific role.

    • Person – if you want the group to apply regardless of appointment.

  5. The Default indicator will update to Y for the selected default group.

  6. Click Save.
