Set up pay codes for attendance rules

How to configure Payroll and WFM pay codes, premium codes, advanced part-time settings, and absence pay codes for use with attendance rules.

Pay codes control how time and attendance data is valued and passed to payroll. This article covers how to configure Payroll pay codes, WFM-specific pay code settings, premium codes, advanced part-time settings, and absence pay codes for use with attendance rules.

📌Note: You will need access to the WFM Admin Dashboard to complete the configuration steps in this article.


Set up Payroll pay codes

Navigate to: WFM Admin Dashboard > WFM Configuration > Pay Codes

For salaried employees, only the uplift portion of the rate is applied, as the base salary already covers standard pay. Use the multiplier values below when configuring each pay code type:

Enable Hide Zero Value on Payslip for any pay codes that should not appear on the payslip when their value is zero.


Set up WFM pay codes

The following settings are specific to WFM pay code configuration:

Setting

Description

Sign Off Column

Must remain blank.

Pay Allocate Only

Enable for pay codes that should not pass to Payroll (e.g. Basic Hours).

Do Not Amalgamate in Calc

Prevents pay code grouping across time bands.

Do Not Delete in Calc

Enable when using Sick Leave alongside a Sick Leave Reporting Pay Code.

📌Note: Timesheet Data Control must be configured for any pay code using Pay Allocate Only. Set POSITION and SCALE_POINT to "Transfer allocated only".


Configure the Premium Code (LDC Payment)

The LDC Payment is triggered when an employee has an LC (Local Department Committee) status on the Attendance file.

  1. Enable the Premium Code option on the pay code.

  2. Navigate to the Premiums screen and configure the following:

    • Sequence: 1.

    • Worked Pay Code: Basic Hours.

    • Premium Pay Code: LDC Payment Driver.

    • Value: 1 (pays 2 hours at standard rate).

  3. Create separate work patterns for employees with LC status.


Configure advanced part-time pay code settings

Navigate to: WFM Admin Dashboard > WFM Configuration > Pay Codes > Advanced Settings

Setting

Purpose

Use for HGD/OGD Contra

Apply to Basic Hours and Ordinary pay codes.

Make Up Hours Multiplier

Specifies the full multiplier for pay codes with reduced rates.

Special Day Pay Code indicator

Marks the pay code for special day use.

Absence Reporting Pay Code

Duplicates attendance data with a different pay code.

Use for Weekly Total Under Contracted Hours

Diminished Pay Code.

Use for Weekly Total Under FTE Hours

Enhanced Pay Code.

Use for Weekly Total Over FTE Hours

Converts to a different pay code if the FTE threshold is exceeded.

Use for Hours Worked

Specifies which absence codes are included in part-time calculations.

Unpaid Overtime Pay Code

For calculation groups without paid overtime after the FTE threshold.

🤓Tip: The menu option PAY_CODES_MENU.ADVANCE_SETTINGS must be enabled on the relevant profile to access these settings.


Configure absence pay codes

Use the following values when configuring absence pay codes:

Company Holiday

Set to "Ignore Company Holiday if Compensatory Day balance exists".

Do Not Delete in Calc

Enable if using Sick Leave alongside a Sick Leave Reporting Pay Code.
