Allow users to enter clockings for employees in Time and Attendance

This article explains how to configure user permissions to allow clocking entry and maintenance for employees in Time and Attendance.

Person Maintenance: Enable Maintain Clockings for employees

The Maintain Clockings parameter controls whether users can input or maintain clockings for a specific employee. If this is not enabled for an employee, no user—regardless of their own permissions—can modify that employee’s clockings.

To enable Maintain Clockings in Portal:

  1. Go to WFM Admin > Person Maintenance.

  2. Query the employee.

  3. Click the ellipsis (...) and select View.

  4. Select Person Settings.

  5. Enable Maintain Clockings.

  6. Click Save.

To enable Maintain Clockings in Back Office:

  1. Go to CoreTime > Pers Data > Person Maintenance.

  2. Search for the employee.

  3. Select the General -1 tab.

  4. Enable Maintain Clockings.

  5. Save changes.


System Users: Assign clocking privileges to users

Users must have appropriate privileges enabled to input or modify clockings for employees. However, these privileges are ineffective if Maintain Clockings is disabled for the employee.

Available clocking privileges in Portal:

  • Modify Automated Clockings
    Allows updating or deleting clockings received from devices or employee ESS clock-ins.

  • Maintain Historical Clockings
    Allows entry, update, or deletion of clockings in past weeks. Historical entries are marked with a clock type prefix H.

  • Move Automated Clockings
    Allows moving automated clockings to a different day without changing the clock time (useful for night shift adjustments).

  • Reset Clock Types
    Allows changing the clock type attached to a clock time. (Refer to related Knowledge Base articles for clock type explanations.)

To assign privileges in Portal:

  1. Navigate to WFM Admin > Config > System Users Configuration.

  2. Query the user.

  3. Click the ellipsis (...) and select View/Edit.

  4. Under Access Privileges, tick the relevant options.

  5. Click Save.

To assign privileges in Back Office:

  1. Go to System Params > System Users.

  2. Query the user.

  3. Select Access Privileges.

  4. Tick or untick the relevant privileges as appropriate:

    • Modify Automated Clockings

    • Maintain Historical Clockings

    • Move Automated Clockings

    • Reset Clock Types

  5. Save your changes.

⚠️Important: If a user does not have any of the clocking privileges enabled, they can still input or modify manual clock times (marked with prefix M). To prevent all clocking input or modification for an employee, disable Maintain Clockings for that employee in Person Maintenance.
