To enable access privileges for a user, follow the steps below.
Portal
Click the dashboard menu at the top left then click WFM Admin Dashboard.
Click WFM Configuration then click WFM System Users Configuration.
Next to the relevant user click the three-dot menu then click View/Edit.
Click the Access Privileges tab.
Back Office
Click CoreTime then click System Params.
Click System Users then click Access Privileges.
Access Privilege Options
Field | Description |
HR User | This indicator is used if the System User is also to be a H.R. User. The H.R. User can see and maintain pay codes that have been marked as H.R. Only. Other System Users who do not have this indicator will be unable to view these pay codes |
Always Access all Work Groups/Departments | This access privilege grants the Core | Time user access to all employees (i.e. without having to specify all work group/department combinations on ). |
Use Employee Access in Person Maintenance | This indicator when selected always allows access to all the work groups and departments attached to the company the System User has been attached to. It is important to note that if employees move between work groups and departments, then this indicator will automatically pick up the changes. |
Approve Hours | This access privilege allows the Core | Time user to approve hours recorded against pay codes set-up as 'requires approval'. By default, this access privilege is assigned to all Core | Time users. However, this access privilege can be removed from a Core | Time user if required.

Sign Off Hours | This access privilege allows Core | Time users to sign off hours for employees in their remit. |
Restrict Person Setup | This indicator restricts the set-up of an employee to the company that the user is attached to e.g. if the user is attached to company one, then he or she can only set up employee that are attached to company one also |
Lock User After Sign-Off | This indicator prevents the user from making any changes to the current week once the week has been signed off |
Reset Clock Type | This indicator allows the users to enter manual clockings for employees regardless of whether or not the employee has been setup to allow 'Maintain clockings'. |
Maintain Historical Clockings | By default, input of clock times on the Maintain Hours screen is restricted to the current CoreTime week. The Maintain Historical Clockings access privilege allows the CoreTime user to input/amend/delete clockings within the open rolling period via the Maintain Hours screen. |
Maintain Historical Hours | By default input on the Maintain Hours screen and the Record Absence Details screen is restricted to the current Time and Attendance week and future Time and Attendance weeks This access privilege allows the CoreTime user to input/amend/delete historical hours via the Maintain Hours screen and historical absences via the Record Absence Details screen SUBJECT to the date being within the open rolling period. |
Automatically Approve Hours | Turning on this indicator for a user will mean that all hours recorded for an employee under this person's remit will be automatically approve. Use of this option is NOT recommended. |
Pre-Approve Future Absence | This indicator allows the user to pre-approve a future absence through the Record Future Absence form. |
Modify Automated Clockings | This indicator, when selected, will allow the System User to modify the clockings generated automatically when an employee clocks in/out. Other System Users who do not have this indicator will be permitted view only access to automated clockings. |
Access all Work Groups/Departments | This indicator when selected allows access to all the work groups and departments attached to the company the System User has been attached to. It is important to note that if employees move between work groups and departments, then this indicator will need to be refreshed in order for the System User to detect the changes. |
Ignore Data Entry Restriction | Turning on this indicator will allow the System User to enter data historically as far back as they wish,override any time restriction that is in place for entering historical data ( for example, the 'Roll Back Weeks for Data Entry' value specified for the company or work group is ignored.) |
See Hidden Balances | The See Hidden Balance access privilege allows this Core Time user to view balances configured as 'Hide on CoreTime'. CoreTime users without this access privilege will not be able to view balances configured as 'Hide on CoreTime' i.e. the balances will not appear in drop-downs etc. |
Hide Narrative | This indicator when selected hides narratives from the user on the Pay Code Occurrences Report. |
Hide Reason Code | This indicator when selected hides reason codes from the user on the Pay Code Occurrences Report. |
Move Automated Clockings | This indicator, when selected, will allow the System User to move automated clockings from one to another within the current system week. The original automated clocking is retained, along with the automated indicator on the clocking. This can be useful if employees are working shifts, starting in one day and finishing the following day. |
Allow Historical Calculation | This indicator allows the user to run a re-calculation on a historical period. This should be used in conjunction with 'Maintain Historical Clockings' |
Leave Request Admin user | The Leave Request Admin User access privilege allows the CoreTime user to view the Approve Leave Request screen in admin mode . This user will only see requests from employees in his/her remit (based on work group/department combination). |
Allow Medical Cert Entry | The Allow Medical Cert Entry access privilege allows the CoreTime user to input sick certificate details via the Record Absence Details screen. |
Allow Future Calculation | Select if the user is allowed run a calculation into the future. |
Limit Absence Detail Start Date | Select to limit the start date that an absence can enter ( dates greater than or equal to the start date of the Input Period or Flexitime Period) |
Maintain Rate of Pay | Select to allow users to maintain the rate of pay field on the Maintain Hours screen |
Override Leave Request | This access privilege allows the CoreTime user to amend (or delete) absences created as a result of an approved leave request via the Record Absence Details screen |
