Error: 'This record cannot be edited as it is historical'

Guidance on error message: 'This record can not be edited as it is historical'

This error message usually appears because either the 'Maintain Historical Hours' privilege isn't enabled for the Manager's Org Role OR Work group does not have user defined calendar enabled (if not enabled, the system calendar current period is used as the open date) OR If the user does not have 'Ignore Data Entry Restriction' and 'Maintain Historical Hours' privilege Enabled.

To check if Maintain Historical Hours is enabled in Back-Office, follow the steps below.

  1. Go to CoreTime.

  2. Click on System Params.

  3. Select System Users.

  4. Use the Access Type drop-down and select Organisation Roles.

  5. Query the Org Role.

  6. Check the Maintain Historical Hours check box is selected.

  7. Click Save.

πŸ“Œ Note: If System Users have been set up individually for Managers, enable the privilege for the System User instead of Org Role


To check if Maintain Historical Hours is enabled in Portal, follow the steps below.

  1. Go to Security

  2. Click on Setup

  3. Select CoreTime System Users

  4. Use the Access Type drop-down and select Organisation Roles

  5. Query the Org Role

  6. Check the Maintain Historical Hours check box is selected

  7. Click Save

If the employee is in a Work Group that uses a UDC but doesn't have the User Defined Calendar Group parameter enabled, follow the steps below.

Back Office

  1. Go to CoreTime.

  2. Click on System Params.

  3. Select Work Groups.

  4. Query the Work Group.

  5. Click General Parameters - 2.

  6. Select the User Defined Calendar Group check box.

  7. Click Save.

Portal

  1. Go to WFM Admin Dashboard, WFM Configuration, Work Groups.

  2. Select Work Group, View/Edit Work Group.

  3. Select General Parameters tab.

  4. Select the 'User Defined Calendar Group' check box.

  5. Click Save.


Additionally if using UDC ensure that the Data Entry Offset value is greater or equal to 0 (Back Office), follow the steps below.

  1. Go to CoreTime.

  2. Click on System Params, Calendars, System Calendar, User Defined Periods.

  3. Query related Calendar Code.

  4. If Data Entry Offset is blank enter 0.

  5. Click Save.

To Enable ' Ignore Data Entry Restriction' on Back-Office, follow the steps below.

  1. Go to CoreTime.

  2. Click on System Params.

  3. Select System Users.

  4. Query the employee.

  5. Select Access Privileges.

  6. Enable 'Ignore Data Entry Restriction'.

  7. Enable 'Maintain Historical Hours'.

To Enable ' Ignore Data Entry Restriction' on Portal, follow the steps below.

  1. Go to Security

  2. Click on Setup

  3. Select CoreTime System Users

  4. Select MSS Access Type

  5. Query employee

  6. Select Access Privileges

  7. Enable 'Ignore Data Entry Restriction'

  8. Enable 'Maintain Historical Hours'
