Access to pay codes in the Time and Attendance module can be restricted using two different methods:
HR Only pay codes
Pay Code Access Groups
⚠️Important: Choose one method or the other—do not use both simultaneously.
HR Only pay codes
This method restricts certain pay codes to users with HR privileges only.
How to mark a pay code as HR Only
In Back-Office
Go to CoreTime
Select System Params
Click Pay Codes
Query the relevant pay code
Enable the HR Only parameter
In Portal
Go to WFM Admin Dashboard
Click WFM Configuration
Select Pay Codes
Query the relevant pay code
Enable the HR Only parameter
📌Note: Pay codes marked as HR Only are accessible only to system users with the HR user privilege.
How to enable the HR user parameter for system users
In Portal
Go to WFM Admin Dashboard
Select WFM Configuration
Click WFM System Users Configuration in the Configuration section
Query the employee
Enable the HR user parameter
In Back-Office
Go to CoreTime
Select System Params
Click System Users
Query the employee
Enable the HR user parameter
📌Note: If you cannot access the Pay Code screen on the WFM Admin Dashboard, ask your administrator to enable the menu profile PAY_CODE_SCREEN for your portal account.
Pay Code Access Groups
This method is more flexible and comprehensive than the HR Only option. It allows you to create lists of pay codes and assign them to either Usernames or Work Groups.
⚠️Important: Decide to attach pay code groups consistently—either to work groups or departments, not both.
How to create a Pay Code Access Group
Go to System Params > Reference K-P > Personalised Pay Code Groups
Enter a new Code and Description
Add the pay codes that users with this group can access
Click Save
How to allocate a Pay Code Access Group
To a Work Group
Go to System Params > Work Groups
Query the relevant Work Group
Under Select Detail, scroll down and click Group Codes
Attach the Pay Code Access Group from the Personalised Pay Code Group list
Click Save
📌Note: These restrictions apply to the main Time and Attendance module only. This article does not cover restricting pay codes within the ESS or Portal modules. If Pay Code Access Groups are created specifically for ESS or Portal, include the system name (e.g., “ESS” or “Portal”) in the group description to avoid confusion with standard access groups.
