Configure Pay Code Groups in Workforce Management

This guide explains how to create Pay Code Groups, add pay codes to a group, and assign a group to an employee in Workforce Management

Written by James Pardy

Pay Code Groups help ensure employees only have access to the appropriate pay codes when booking leave or completing other payroll-related activities.

Before you start

Make sure you have the required permissions to access WFM Admin and manage Pay Code Groups and employee settings.

Create a Pay Code Group

  1. Go to WFM Admin Dashboard.

  2. Select WFM Configuration.

  3. Search for and select the Pay Groups tile.

  4. Select Add Group.

  5. Enter a Group Code and Description.

  6. Select OK.

Add pay codes to the group

  1. Select Add.

  2. Use the drop-down menu to search for and select the required pay code.

  3. If the pay code should be View Only, enable the toggle.

  4. Repeat these steps to add any additional pay codes.

  5. When you have finished adding pay codes, select Save.

📌Note: Creating a Pay Code Group does not automatically assign it to employees. You must assign the group to employees separately.

Assign a Pay Code Group to an employee

  1. Go to WFM Admin > Person Maintenance.

  2. Search for and select the required employee.

  3. Select the three-dot menu and then select View.

  4. Select Personal Groups.

  5. Select Add.

  6. From the drop-down menu, select the required Pay Code Group.

  7. Under Assignment Level, select whether the group applies to an Appointment or Person:

    • Appointment – applies the Pay Code Group to a specific role.

    • Person – applies the Pay Code Group to the employee regardless of their appointment.

  8. If required, select the group as the Default group.

  9. Select Save.

The Default indicator changes to Y for the selected default group.
