Pay code not showing in Workforce Management timesheet input screen

Troubleshoot why a pay code is not appearing in the Workforce Management Timesheet Input employee-add-paycode screen, including pay code group and work group configuration checks.

If a pay code is not appearing in the WFM Timesheet Input employee-add-paycode screen, this is most commonly caused by the pay code not being included in the Pay Code Group assigned to the employee's work group. This article explains how to identify the cause and resolve it.

📌Note: The WFM Timesheet Input screen and the Payroll timesheet screen are separate. If the pay code is missing from the WFM Timesheet Input screen specifically, follow the steps below. For issues with the Payroll timesheet screen, refer to Mark a pay code for inclusion on ESS Timesheet or Timesheet Claim screen.

Before you start

Make sure you have access to WFM Admin Dashboard and the relevant WFM Configuration settings.


Step 1: Identify the work group's Pay Code Group

Each work group can have a Pay Code Group assigned, which controls which pay codes are available to employees in that group. If the required pay code is not in this group, it will not appear in the timesheet.

  1. Go to WFM Admin Dashboard.

  2. Select WFM Configuration, then select Work Groups.

  3. Search for and select the relevant work group.

  4. Select the three-dot menu and then select View/Edit Work Group.

  5. Select Group Codes to see which Pay Code Group is assigned to the work group.


Step 2: Add the pay code to the Pay Code Group

If the required pay code is not included in the assigned Pay Code Group, you need to add it.

  1. Go to WFM Admin Dashboard.

  2. Select WFM Configuration, then select Pay Groups.

  3. Search for and select the relevant Pay Code Group.

  4. Select Add.

  5. Use the drop-down menu to search for and select the required pay code.

  6. Select Save.

📌Note: Adding the pay code to the Pay Code Group makes it available for all employees and work groups assigned to that group. If you only want the pay code available for specific employees, consider creating a new Pay Code Group for those employees.


Step 3: Assign a different Pay Code Group to the work group (alternative)

If you do not want to modify the existing Pay Code Group, you can assign a different Pay Code Group to the work group instead.

  1. Go to WFM Admin Dashboard.

  2. Select WFM Configuration, then select Work Groups.

  3. Search for and select the relevant work group.

  4. Select the three-dot menu and then select View/Edit Work Group.

  5. Select Group Codes.

  6. Update the Pay Code Group to one that includes the required pay code.

  7. Select Save.


Pay code shows for some employees but not others in the same work group

If the pay code is visible for some employees but not others within the same work group, this is likely because individual employees have a personalised Pay Code Group assigned at employee level, which overrides the work group setting.

To check and update the Pay Code Group at employee level:

  1. Go to WFM Admin Dashboard, then select Person Maintenance.

  2. Search for and select the affected employee.

  3. Select the three-dot menu and then select View.

  4. Select Personal Groups to check if a personalised Pay Code Group is assigned.

  5. If a personalised group is assigned, either add the required pay code to that group, or assign a different group that includes it.
