Absences will not resave after a balance changes from hours to days

Written by James Pardy

After you change a balance from hours to days, you may see an error when you resave an employee's absences. The balance can go into the negative when you make the change, and the system won't resave an absence when there isn't enough entitlement.

Why the error appears

The balance can exceed the entitlement after the change from hours to days. For example, the balance can be over by 2 days, even though nothing was exceeded while it was in hours. If the shift type was also updated, the absences need resaving so the number of hours deducted is corrected.

Resave the absences

  1. Check the employee's balance and confirm that the calendar is extended.

  2. Remove the last annual leave entry so that the balance is positive.

  3. Resave each of the other absences. To do this, click the three-dot menu next to the absence, click View/Edit absence, then click Save.

  4. Check that the hours have recalculated.

  5. Add the annual leave you removed back in once the balance is corrected.

📌Note: The carried over amount is a manual adjustment, and its details show whether it was entered in hours or days. If the unit was wrong when the data was migrated, check it before you correct the balance.
