If an employee has moved between grades or positions during the year, their annual leave balance may show fewer days than the full entitlement for their current grade. This is expected behaviour, not an error, and recalculating the balance will not change the figure.
Why the balance is lower than expected
When an employee's grade or position changes partway through the year, the system apportions their annual leave entitlement based on the number of days spent under each grade. The apportioned figure is then rounded, which can result in a balance that is slightly below the full entitlement for their current grade. For example, an employee entitled to 24 days who changed grade during the year may show a balance of 23 days.
Running a balance recalculation will not correct this, because the apportioned figure is being calculated correctly based on the grade history for that year.
Correct the balance for the current year
To bring the balance up to the full entitlement for the current year, add a balance adjustment.
Go to the balances screen for the employee in either People Management or WFM Admin.
For the annual leave balance, open the three-dot menu and select Balance Adjustment.
Enter the Effective Date.
Enter the Adjustment Amount needed to bring the balance up to the correct entitlement.
Add a Reason for the adjustment.
Click Save.
đNote: The adjustment will appear in the Adjustment History for the balance.
Future years
A yearly manual adjustment is not needed. From the following year, the system uses the grade that was in place at the start of the year for the whole year, so the full entitlement will show automatically, provided there is no further mid-year grade change.
