Taken leave balance showing as 0 in the portal

Steps to identify and resolve why an employee's Taken leave balance is not updating in PeopleXD Workforce Management.

If an employee's Taken leave balance shows as 0 in the PeopleXD Workforce Management (WFM) portal even though leave has been approved and taken, the most common cause is that the work patterns assigned to the employee have no standard hours configured. Without standard hours, WFM cannot calculate the hours for those absences, so the Taken balance does not update.

Work through the checks below in order to identify and resolve the cause.


Work pattern has no standard hours

This is the most common cause. Each work pattern assigned to the employee's shift type must have standard hours configured. If any work pattern is missing them, absence hours cannot be calculated and the Taken balance stays at 0.

Check and fix the work pattern

  1. From the dashboard menu, click WFM Admin Dashboard, then click WFM Configuration.

  2. Click Work Patterns.

  3. Find the work pattern assigned to the employee's shift type. Check each work pattern assigned to that shift type.

  4. Next to the relevant work pattern, click the three-dot menu, then click View/Edit Work Pattern.

  5. Click Standard Hours.

  6. If no standard hours are listed, click Add and enter the required values, including Seq No, No of Hours, and Time Code.

  7. Click Save.

⚠️Important: You must check every work pattern assigned to the employee's shift type, not just one. If any work pattern is missing standard hours, the balance will not calculate correctly for those dates.


Resave the affected absences

After updating the work patterns, you must resave each affected absence so WFM recalculates the hours against the corrected work pattern.

  1. Go to the employee's absence record in Absence Details.

  2. Open each absence that is not showing in the Taken balance.

  3. Resave each absence without making any other changes.

📌Note: The Taken balance should update after you resave the absences. If it does not update immediately, the overnight calculation job will recalculate it. You can also trigger a manual recalculation — see Configure standard hours for a work pattern for steps.


Still showing as 0?

If you have checked the work pattern standard hours and the Taken balance still shows as 0, raise a support case via the Access Digital Assistant. Include the employee number and the dates of the affected absences so the support team can investigate.
