An employee's Taken balance can be lower than the leave you see in a report or in another system. Rejected timesheet days and rest days are the two causes to check first.
Why the Taken balance is lower
The Taken value reads approved absences on closed timesheet periods. A day does not count towards Taken in either of these situations:
The absence was approved, but one or more of its days were rejected on the timesheet.
The day is a rest day in the employee's work pattern, so no leave calculates for it.
đNote: Approve or reject absences in the absence details, not on the timesheet. Rejecting a day on the timesheet can leave an approved absence with days that do not count towards Taken.
Check the days that are missing
Compare the days in the absence with the days included in the Taken value.
Check whether any days in the absence are rest days in the work pattern.
Check whether any days were rejected on the timesheet, and who rejected them.
Correct the balance
What you do next depends on whether the employee took the days off.
If the employee took the days off, the rejected days need to show as approved on the timesheet. Raise a request with our support team to update them. The Taken value then updates to include those days.
If the employee worked on those days, the Taken value is already correct and you do not need to change it.
