Set up and enable SmartRoster

How to enable SmartRoster in PeopleXD Evo, including prerequisites, menu security configuration, and a step-by-step enablement checklist for administrators.

This article covers the technical setup required to enable SmartRoster for a customer environment. These steps are performed by Professional Services or an internal administrator.


Prerequisites

Before enabling SmartRoster, the following must be in place:

  • The customer must be on Evo with the Workforce Management module active.

  • Staffing Demand rules must be configured in XD, as SmartRoster uses these to evaluate coverage gaps and staffing requirements.

  • Validation Rules must be configured in XD.

📌Note: AutoRoster is not required for SmartRoster. SmartRoster can analyse rosters built manually, via AutoRoster, or via OR-Tools.


Menu security

Access to SmartRoster features within Workforce Management is controlled through User Security menu options, following the same pattern as the existing Workforce Management module.

A dedicated Smart Roster menu option is available under User Security. When this option is assigned to a user, it grants all required privileges for SmartRoster, including access to the SmartRoster dashboard, KPI tiles, recommendations, and configuration screens.

SmartRoster-specific menu options also control which individual KPIs and dashboard tiles are visible to each user role. This allows administrators to tailor the SmartRoster experience per customer or per user group — for example, showing budget-related KPIs only to senior managers.

⚠️Important: The SMARTROSTER menu profile is currently pending release. This section will be updated when the menu profile ships.
