Configure SmartRoster KPI thresholds

How to configure Key Performance Indicator thresholds and visibility in SmartRoster, including Red/Amber/Green scoring bands for Financial Metrics, Compliance, Staffing and Coverage, and Fairness.

SmartRoster evaluates each roster against a set of Key Performance Indicators (KPIs). Each KPI uses a Red/Amber/Green (RAG) scoring model where thresholds define the boundaries between the three bands. You configure these thresholds to reflect your organisation's standards and tolerances.

KPI categories

SmartRoster groups KPIs into four categories. Each category contributes to the overall Roster Confidence Score.

Category

What it measures

Financial Metrics

Roster cost against budget, overtime usage, and cost efficiency.

Compliance

Adherence to Working Time Directive (WTD) rules and other regulatory constraints.

Staffing and Coverage

Whether staffing levels meet the demand defined by Staffing Demand rules.

Fairness

Equitable distribution of desirable and undesirable shifts across employees.


Configure thresholds

Thresholds define where the Green, Amber, and Red bands begin and end for each KPI. You set these to match your organisation's requirements.

  1. Go to Smart Roster and select Configuration.

  2. Select Summary Configuration.

  3. Select the Threshold tab.

  4. For each KPI, drag the sliders to set the Amber and Red threshold boundaries.

  5. Select Save.

📌Note: Threshold values are percentage-based. The Green band sits above the upper slider, Amber sits between the two sliders, and Red sits below the lower slider.


Configure KPI visibility

You can control which KPI tiles are visible to users on the SmartRoster dashboard. This allows you to hide KPIs that are not relevant to a customer's configuration or user role.

  1. Go to Smart Roster and select Configuration.

  2. Select Summary Configuration.

  3. Select the Visibility tab.

  4. Turn on or turn off the toggle for each KPI you want to show or hide.

  5. Select Save.

⚠️Important: KPI visibility is controlled by User Security menu options as well as this configuration screen. A KPI hidden here will not appear regardless of menu settings.
