Use the Filter Bar in EVO Roster

Search for employees, manage columns, sort and filter, group by category, show budgets, show demand, and open the Tasks panel using the Filter Bar.

The Filter Bar sits directly below the Control Bar and provides tools for searching, filtering, and organising the employee list in the schedule grid. It works the same way in both Daily and Weekly View, with one addition in Weekly View — the Stats panel columns in Manage Columns.


Search

The search box on the left of the Filter Bar instantly filters the employee list as you type. It matches against employee name and number, is not case-sensitive, and requires no confirmation — results update immediately.


Manage Columns

Select Manage Columns to open a panel where you can choose which data columns appear in the grid and set their order.

  1. Click Manage Columns.

  2. Tick or untick individual columns to add or remove them, or use Select All or Clear All.

  3. Drag a column using its left-hand handle to reorder it.

  4. Click Reset layout widths to restore Employee Name, data columns, and the stats panel to their default widths.

  5. Click Apply to save your changes.

Your column choices are stored in your browser and persist between sessions.

📌Note: Whether a column appears in the list at all is controlled by a system-wide administrator setting, separate from you ticking or unticking it. If a column is missing from the list entirely, contact your administrator.

The standard employee data columns are:

Cost Centre

Cost centre name.

Attribute

Roster attribute.

Contract Hours

Weekly contracted hours.

Rostered Hours

Calculated scheduled hours.

In Weekly View, the Manage Columns panel also shows a Stats panel columns section. These weekly summary columns are all visible by default and can be shown or hidden:

  • Rostered Hours.

  • Contracted Hours.

  • Difference (Rostered vs Contracted).

  • Average Hours.

  • Allowances.

  • Cost.

  • Balance.

  • Overtime.


Sort and Filter

Select Sort and Filter to open a panel where you can sort and filter the employee list.

  • Each field has its own Filter button. Click it to expand a checklist of values with a search box and a Select All option. Click Hide to collapse it again.

  • The values in each checklist are built from the employees currently in the grid, so what you can filter by narrows as your Team Area or period selection changes.

  • Drag a field using its left-hand handle to change sort priority. The field at the top sorts first, and subsequent fields break ties.

  • Each field also has its own ascending and descending arrows, independent of drag order.

  • Click Apply to apply your selections to the grid.

You can also sort by clicking column headers directly in the grid when grouping is not active.

Filter and sort settings are saved to the server and persist across sessions.

Use the Clear Filters button (visible when filters are active) to remove all active filters at once.

📌Note: Enabling Enable Code Sorting (WFM Admin Dashboard > Roster General Settings > General Settings) adds a parallel set of Code fields alongside the name-based fields: Team Area Code, Work Group Code, Department Code, Cost Centre Code, Project Code, Expense Code, Location Code, Position Code, and Category Code.


Group By

Select the Group By dropdown to group employees into collapsible sections in the grid.

Option

Description

None

No grouping (default).

Department

Group by department name.

Job Title

Group by job title.

Contract Type

Group by contract type.

Location

Group by location.

📌Note: When grouping is active, a group header row appears before each group and column header sorting is disabled.


Show Budgets

Click Show Budgets or press Ctrl+B to toggle the Budget Analysis section. When enabled, two components appear above the schedule grid:

  • Main Budget Bar — a summary for the current period showing budget amount, scheduled or spent amount, difference, and percentage. Includes toggles between Values (£) and Hours, and between Planned and Actual where both are available.

  • Budget Bar All Days — a per-day breakdown for all seven days of the week, each with a progress bar showing scheduled versus budgeted amounts.

📌Note: Budget visibility is controlled via WFM Admin Dashboard > Cost of Roster > Display Controls. The Display Budget Values toggle is the master switch. When it is on, individual screens can be configured to show or hide budget, planned, and actual values separately.


Show Demand

Click Show Demand or press Ctrl+D to toggle the Demand Graph.

  • In Daily View, this shows a bar chart of staffing demand versus rostered headcount for each time slot across the selected day.

  • In Weekly View, this shows the same comparison per day across the week, with an additional People or Hours toggle to switch between headcount and hours.

The graph uses colour-coded bars:

Colour

Meaning

Grey

No demand (no staff required).

Green (lime)

Balanced (rostered headcount matches demand).

Red

Understaffed (fewer rostered than required).

Amber

Overstaffed (more rostered than required).

🤓Tip: Hover over a bar to see a tooltip with the exact required count, rostered count, and gap. Task assignments with an Impacts Roster flag reduce the rostered count for the relevant time slots and are reflected in the graph.


Tasks

Click the Tasks button or press Ctrl+T to open the Tasks side panel. The panel opens on the right-hand side of the screen without overlaying the main grid.

📌Note: The Tasks button is controlled by the Roster Task Access menu option. If you do not see the button or the shortcut does not work, contact your administrator to check your menu permissions.
