When an employee submits an annual leave request in Access People XD, the system routes the request to their current line manager based on their workgroup. If the employee’s workgroup or manager changes, this can affect the approval workflow. This article outlines how to handle these changes to avoid leave approval issues.
Employee changes workgroup
If the employee moves to a different workgroup, the system will automatically transfer the outstanding leave requests to the new manager assigned to that workgroup.
Employee gets a new manager (same workgroup)
If the employee stays in the same workgroup but a new manager is assigned, the employee must resubmit their leave request to ensure it routes correctly to the new manager.
Check manager role setup in CorePersonnel
Open Access People XD BackOffice.
Go to CorePersonnel.
Select Reference from the menu.
Click Maintain Organisational Roles.
Use the query option to locate the employee’s Work Group.
Check if the new manager is listed with Manager Role Access for this workgroup.
If the new manager is not present, set them up with Manager Role Access for that Work Group.
Check manager role setup in the Portal
Log in to Access People XD Portal.
Go to People Management.
Select Data Centre.
Click People Management again.
Choose Maintain Organisational Roles.
Check if the new manager is set up with Manager Role Access for the relevant Work Group.
If they are not set up, assign them Manager Role Access for the Work Group.
