No options or few options in the drop-down list when booking Annual Leave

How to resolve the issue where an employee has no or limited options in the Pay Code drop-down list when trying to book Annual Leave.

If an employee cannot see the correct pay codes (or sees no options at all) when booking Annual Leave, it is usually because they are assigned to a Personalised Pay Code Group (PPCG) that:

  • Has no pay codes assigned
    or

  • Does not contain the correct pay code for Annual Leave

Check the employee's Pay Code Group

  1. Go to the WFM Admin Dashboard.

  2. Select WFM Person Maintenance.

  3. Query the employee and click View.

  4. Click Personal Groups.

  5. Check if any Pay Code Access Groups are assigned to the employee.


Review the assigned Pay Code Group

  1. Go to the WFM Admin Dashboard.

  2. Select WFM Configuration.

  3. Click Pay Code Groups.

  4. Query the Pay Code Access Group assigned to the employee.

  5. Check if the required Annual Leave pay code is present in the group.


Update the Pay Code Group

If the required pay code is missing:

  • Add the correct pay code to the employee’s Pay Code Group.

  • Click Save.

If the group is incorrect:

  • In WFM Person Maintenance, go to Personal Groups.

  • Assign the correct Personalised Pay Code Group to the employee.

  • Click Save.


⚠️Important: If a Personalised Pay Code Group (PPCG) is assigned to the employee but contains no pay codes, the employee will see no options in the drop-down list when trying to book Annual Leave on the portal. Always ensure that the relevant Annual Leave pay code is included in the assigned Pay Code Group.
