Extend a user defined period calendar

How do I extend a calendar that has user defined periods.

Written by James Pardy

To ensure any time-related processes, such as generating timesheets and running payroll, continue to function correctly, you need to extend your user defined calendar. This ensures the calendar covers all future periods.

Period guidelines

  • Weekly calendars: Typically have 52 periods in a tax year. If your pay date falls on 5 April, you may need 53 periods.

  • Fortnightly calendars: Typically have 26 periods.

  • Monthly calendars: Always have 12 periods.

📌 Note: Ensure your Weekly and Yearly calendars are extended far enough to cover the periods in your user defined calendar. If they aren't, the new periods won't generate correctly.

Closing Prior Periods

To ensure a clean transition and correct visibility in Timesheet Input, it is important to close prior periods up to the current one. Before closing periods, verify that no Work Group on the calendar is set to "Generate Timesheets."

Back Office

To extend a user defined calendar in Back Office, follow the steps below.

  1. Click CoreTime then click System Params.

  2. Click Calendars then select System Calendar.

  3. Search for and select the relevant company.

  4. Click User Defined Periods then select the calendar code.

  5. Click Generate Periods then enter the start date.

  6. Select the duration then specify the number of periods.

  7. Click OK.

Portal

To extend a user defined calendar in Portal, follow the steps below.

  1. From the dashboard menu, click WFM Admin Dashboard.

  2. Click WFM Configuration then click Company and Calendar Config.

  3. Select User Defined Calendar Periods then select the calendar code.

  4. Click Generate Period then enter the start date.

  5. Specify the number of periods. Regenerating and Correcting Future Periods If future periods in a user-defined calendar are incorrect, they cannot be directly edited. Instead, follow these steps to delete and regenerate periods:

  6. Identify the Most Recent Correct Period: Start with the last accurate, closed period.

  7. Delete Incorrect Periods: Sequentially delete all periods from the one you need to change onward. Use the delete option starting with the latest period and move backward.

  8. Regenerate the Current Period: Use the Lunar option to set exact start and end dates for the current period.

  9. Generate Future Periods: Once the current period is corrected, generate periods through the end of the year. If these are accurate, continue generating subsequent years as needed.

📌Note: Future periods cannot be amended in place; they must be deleted and re-generated. Additionally, the current period can only be edited if it is not marked as completed. If the Start/End fields are read-only, use the delete-and-regenerate method.
