Steps to complete before running balance period end

Before running the balance period end process for a balance, complete the following steps to ensure smooth operation.

Extend company calendar years

Creating additional company calendar years ensures the system can manage time-related processes well into the future. To create a new company year, watch the video or follow the steps below.

  1. Open the WFM Admin Dashboard, then select WFM Configuration.

  2. Search for Company and Calendar Config.

  3. Click the three-dot menu of the relevant company, then click View/Edit.

  4. Click Company Calendar Years, then click Add.

  5. Enter the year, start date and number of weeks, then click OK.


Extend company calendar periods

Extending weekly calendars prevents errors when generating timesheets or running other time-based operations. To extend weekly calendars, watch the video or follow the steps below.

  1. Open the WFM Admin Dashboard, then select WFM Configuration.

  2. Search for Company and Calendar Config.

  3. Click the three-dot menu of the relevant company, then click View/Edit.

  4. Click Company Calendar Periods, then click Generate Period.

  5. Enter the year and end period.

  6. Then, set the fortnightly and monthly starting period if required.

  7. Click OK.


Extend user defined calendar periods

Extend user defined calendars to avoid disruption in processes that rely on them. To extend these calendars, watch the video or follow the steps below.

  1. Open the WFM Admin Dashboard, then select WFM Configuration.

  2. Search for Company and Calendar Config.

  3. Click the three-dot menu of the relevant company, then click View/Edit.

  4. Click User Defined Calendar Periods, then select the calendar code to extend.

  5. Click Generate Period, then enter the start date, duration and number of periods.

  6. Click OK.


Extend balance calendars

Balance calendars must include at least the next yearโ€™s data to support balance calculations. To extend balance calendars, watch the video or follow the steps below.

  1. Open the WFM Admin Dashboard, then select WFM Configuration.

  2. Click Balance Configuration.

  3. Click the three-dot menu of the relevant balance, then click View/Edit Balance.

  4. Click Balance Calendar, then click Generate Period.

  5. Select a Copy Value From Period from the list.

  6. Enter the start period, start date, number of periods and increment.

  7. Click OK.


Create new company holidays

Create public holidays for the upcoming year to ensure correct balance and absence processing. To create new public holidays, watch the video or follow the steps below.

  1. Open the WFM Admin Dashboard, then select WFM Configuration.

  2. Click Bank Holiday Schemes.

  3. Click the three-dot menu of the relevant scheme, then click View.

  4. Click General Settings, then click Add.

  5. Enter the date, pay code and select how you want the hours to be applied.

  6. Repeat for all required dates, then click Save.


Extend non-cycle shifts

If you do not extend non-cycle shifts, employees cannot submit leave requests, managers cannot record absences, and timesheets will not calculate correctly. To extend non-cycle shifts, watch the video or follow the steps below.

  1. Open the WFM Admin Dashboard, then select WFM Configuration.

  2. Click Non-Cycle Shifts.

  3. Search for the shift to extend, then click View.

  4. Click Shift Patterns, then click Generate Period.

  5. Select the From Period and To Period.

  6. Enter the From Period and To Period to copy period into, then click OK.

You can now run your Balance Period End.
