Balance report figure differs from the actual balance after Flexi Leave is booked

Understand why your balance report may differ from an employee's actual balance after Flexi Leave is booked.

Written by James Pardy

If you compare a balance report to an employee's actual balance in PeopleXD Workforce Management, the two figures can show different results once Flexi Leave has been booked. This is expected behaviour, caused by a difference in what each figure calculates.

Why the figures differ

A balance report only calculates leave that has already been taken. It does not take booked, not-yet-taken leave into account, so it does not update as soon as Flexi Leave is booked.

The actual balance is calculated differently: it includes all adjustments, future booked leave, and leave that has already been taken. This means the actual balance reflects a booked Flexi Leave entry immediately, while the report only reflects it once the leave date has passed and the leave has been taken.

When you'll see this

Before any Flexi Leave is booked, the report and the actual balance will match, because there is no booked-but-not-taken leave for them to treat differently. Once Flexi Leave is booked for a future date, the actual balance drops immediately to reflect the booking, while the report will not reflect that change until the leave date has passed and the leave is recorded as taken.

📌Note: This difference is not a calculation error in either figure — the report and the actual balance are designed to calculate different things.
