Manage task groupings in WFM Admin

How to create, edit, and manage task groupings and their assignments in the WFM Admin Dashboard.

You can use the Task Groupings screen to create and manage logical groupings of tasks. Task groups help you organise tasks by team, function, or workflow category, and can be assigned to team areas and individual tasks.

Access the Task Groupings screen

To open Task Groupings, follow these steps.

  1. Log in to the WFM Admin Dashboard.

  2. Select WFM Configuration.

  3. From the main navigation, select Task Groupings.


The Task Groupings screen

The Task Groupings screen displays a searchable table of all existing task groups. The following columns are shown.

Field

Description

Task Group Code

A short, unique identifier for the task group, up to 6 characters in length.

Task Group Description

A description for the group, up to 40 characters in length.

Team Areas Assigned

The number of team areas currently linked to this task group.

Tasks Assigned

The number of individual tasks currently assigned to this group.

Ellipsis (⋮)

Options to edit or delete the task group.

Search

Use the search bar in the top-left of the table to filter task groups by code or description.

Add a task group

You can add a new task group directly from the Task Groupings screen.

  1. Click Add in the top-right corner of the screen. The Add Task Grouping dialog will appear.

  2. Complete the following fields:

Description

Group Code

A unique short code to identify the group. Mandatory.

Group Name

A descriptive name for the group, displayed throughout the system. Mandatory.

🤓Tip: Use clear, consistent naming conventions for group codes — for example, a department prefix followed by a number (SALES1, OPS2). Avoid special characters such as !£$^* as these may cause display or integration issues.


Edit a task group

The Edit view is a drill-down screen within Task Groupings. It allows you to manage the individual task codes assigned to a specific task group.

  1. Locate the task group in the table.

  2. Click the ⋮ menu at the end of the row, then select Edit.

Add a task to a group

You can assign tasks to the group from within the Edit view.

  1. Click Add in the top-right corner of the screen. The Add Task dialog will appear.

  2. From the task drop-down list, select the task you want to link to this group. You can search by task name or code.

  3. Click Ok. The task is added to the grid.

📌Note: Tasks must be created in the system before they can be assigned to a task group. If the desired task does not appear in the drop-down, verify it has been set up under the relevant task configuration area first.

The following fields are displayed for each task in the grid.

Task Code

Displays the task code.

Task Name

Displays the selected task name.

Active

Indicates whether the task is active and available for use within the group.


Delete a task group

You can permanently delete a task group from the Task Groupings screen.

  1. Locate the task group in the table.

  2. Click the ⋮ menu at the end of the row, then select Delete.

  3. Confirm the deletion when prompted.

The confirmation prompt will differ depending on whether the task group is linked to a team area:

  • If the task group is not linked to a team area, a standard delete confirmation is displayed.

  • If the task group is linked to a team area, an additional warning is displayed before you can proceed.

⚠️Warning: Deleting a task group that has tasks or team areas assigned may affect those configurations. Reassign or review linked records before deleting.


Link task groups to a team area

Task groups can be linked to a team area from within the Team Area Configuration screen.

  1. Navigate to Workforce Management, then select Team Area Configuration.

  2. Select Task Group. The Task Group assignment screen will appear.

Add a task group to a team area

  1. Click Add in the top-right corner of the screen. The Add Task Groups dialog will appear.

  2. Select one or more task groups from the available drop-down list, then confirm your selection.

View task codes for a task group

You can view all task codes assigned to a task group directly from the team area.

  1. Locate the task group in the table.

  2. Click the ⋮ menu at the end of the row, then select View task.

The Task Codes screen displays the following columns.

Description

Task Code

The unique code identifying the task (e.g. 120, E500).

Task Name

The descriptive name of the task (e.g. StockTake VV, Administration).

Active

A toggle indicating whether the task is currently active. A filled blue toggle means the task is active; a grey toggle means it is inactive.

⚠️Important: If you update the Active toggle on this screen, the change will affect the task's availability across all groups it is assigned to, not just this team area.

Search task codes

Use the search bar at the top-left of the table to filter the list by task code or task name. Results update dynamically as you type.

Remove a task group from a team area

  1. Locate the task group in the table.

  2. Click the ⋮ menu at the end of the row, then select Delete.

⚠️Warning: Selecting Delete here will permanently remove the task group from the team area.


Best practice notes

  • Use clear, consistent naming conventions for group codes (e.g. department prefix + number: SALES1, OPS2).

  • Avoid special characters in group codes; some characters (e.g. !£$^*) may cause display or integration issues.

  • Regularly review unassigned groups (those showing 0 team areas and 0 tasks) to keep the list clean and manageable.

  • Ensure group names are descriptive enough for other administrators to understand the group's purpose without additional context.

  • Assign only related or functionally similar tasks to a single group to keep groupings meaningful and easy to manage.

  • Review the Active status of tasks before assigning them — inactive tasks may not behave as expected within scheduling or reporting workflows.

  • If a group has no tasks assigned, it will not contribute to team area configurations. Populate it before linking it to team areas.

  • Periodically audit task assignments within each group to remove tasks that are no longer relevant or have been retired.
