Leavers in CorePersonnel still active in CoreTime

Employees have been ended in Personnel but is still active and visible in Time.

There are a few reasons this could be happening. To resolve this, check each of the following in order.

  • Employee hasn't been ended in Personnel

  • The calendar used by the employee has yet to be advanced passed their end date

  • The LE (Leaver) code has been deleted from 'Employee Status' in CorePersonnel

  • Known issue when Current Period / Week is being automatically advanced via Overnight Job

  • The calendar in Core Time hasn't been advanced since the employee was made a leaver.

πŸ“Œ Note: If a User Defined Calendar is assigned to the employee's Work Group then this will need to be advanced passed the employee's end date. Check the Pay Frequency parameter in System Params, Work Groups. If the value here isn't Weekly, Fortnightly or Monthly, a UDC is in use.

To resolve this, follow the points below.

Resolution 1

End the employee in Personnel. Status will be updated when the period is advanced next.

πŸ“Œ Note: An advanced option is available to set all employees with historical Date Left entered to Leaver and is set at company level. If this is required, please raise a new case online and reference the title of this article and ask for this option to be enabled.

Resolution 2

Employee will be updated to a leaver when the period is advanced passed their end date. See article description for the three scenarios where a period is advanced.

Resolution 3

  1. Click CorePersonnel, Reference, Reference D-J, Employee Status.

  2. Set up an Employee Status for Leavers. The employee status is LE

  3. Click Save.

πŸ“Œ Note: Employee will not automatically become a Leaver/Dormant in the system and will need to be updated.

Resolution 4

Resolved in versions 20.0.23+, 21.0.20+, 22.0.5+

Resolution 5

Need to wait for calendar to be advanced again in Core Time for them to be made a leaver or else raise a support case if you do not wish to wait.

Employee has a leave date of 10-MAR-22.


The calendar linked to the employee has the current open period as 01-MAR to 31-MAR.


The employee won't become a leaver until the calendar is automatically advanced by closing period 01 to 31-MAR and making 01-APR to 30-APR the current open period

Period End can be run manually via (should not be done if this calendar is used to generate timesheets).

  1. Portal, WFM Admin Dashboard, Advance Period

  2. Click 'Monthly User Defined Calendar'

  3. Click 'Advanced Period'

  4. Click 'Yes' to exceptions

  5. This will update any employees to leavers linked to this calendar who had a leave date on or before this period
