Error when amending absence: The Appointment ID is not valid for the duration of the absence

What causes this error when amending a long-term absence that spans an appointment change, and how to resolve it.

You may see this error when trying to amend an existing absence record — for example, extending the end date — for an employee whose appointment has since changed, such as when a new appointment or post has started and the old one has ended.


Why this happens

The absence record is tied to the appointment that was active when it was originally entered. If that appointment has since ended and a new appointment has started, the system will not let you extend or amend the absence dates on the old, ended appointment — the appointment ID is no longer valid for the dates you are trying to apply.


How to resolve it

⚠️Important: You cannot edit the existing absence record once the appointment it was recorded against has ended.

  1. Leave the existing absence record as it is on the old appointment.

  2. Enter a new absence record against the new appointment, covering the remaining dates of the absence.
