Absence Reporting for Attendance Rules

Learn how to use the Pay Code Instance Report and Insight views to report on absence and attendance data in PeopleXD Workforce Management.

The Pay Code Instance Report and Insight views give you flexible tools to report on absence and attendance data in People XD Workforce Management. This article explains how to configure the report, filter results, export data to Insight, and build attendance reporting using multiple Insight views.


Use the Pay Code Instance Report for absence reporting

The Pay Code Instance Report provides unified absence reporting across multiple pay codes, allowing consecutive absences recorded under different codes to be treated as a single continuous instance.

⚠️Important: Use pay code 8922 (Recorded Sick Leave CP) as the primary reporting pay code. Do not use pay code 8927 (Sick Leave CP) — including it will cause absences to be double-counted.

To treat consecutive absences across different pay codes as a single instance:

  1. Open the Pay Code Instance Report.

  2. Select pay code 8922 (Recorded Sick Leave CP) as your primary pay code.

  3. Add any additional pay codes that cover related absence types (for example, Hospital Appointment).

  4. Enable Treat selected pay codes as a single instance.

🤓Tip: For example, if an employee is absent Monday, Tuesday, Thursday, and Friday under Recorded Sick Leave, and Wednesday under Hospital Appointment — selecting both pay codes and enabling this option joins them into one continuous absence instance.


Filter results in the Pay Code Instance Report

The report supports dual-criteria filtering, allowing you to narrow results by absence days, instances, work group, and department.

Set absence criteria filters

You can filter employees using two criteria, combined with AND or OR logic:

🤓Tip: For example, you can filter for employees with 5 or more days sick OR more than 3 instances, or employees with 10 or more days sick AND more than 5 instances.

Filter by work group and department

You can also filter results by work group and department. Both filters are optional and support multi-select.

Save filter criteria

To save your filter criteria for reuse, use the Manage Selections option.


Export Pay Code Instance Report data to Insight

You can export Pay Code Instance Report data to an Insight view for use in Insight Reports alongside other absence management data.

The following fields are available in the Insight view:

  • Name

  • Employee ID

  • Start Date

  • End Date

  • Number of Days

  • Username

📌Note: The Insight view is linked to HR Person, allowing it to be joined with other views in Insight Reports.


Build Attendance reporting in Insight

There is no single Insight view for Attendance data. To build a complete view of attendance — including planned patterns, actual clockings, and calculated hours — you need to combine data from multiple tables.

Use the following Insight views and their corresponding database tables:

Join these tables to create a complete view of attendance, including planned patterns, actual clockings, and calculated hours.
