Troubleshoot absence issues

Use this guide to troubleshoot common issues where absence records do not update timesheets as expected.

Before you start

Make sure you have:

  • Access to the relevant employee's Leave Request History and timesheet.

  • The appropriate permissions to view leave requests and unlock timesheet days.

  • The relevant leave request available to review.


Check the status of a leave request

Use the leave request details to confirm whether the absence has been submitted, approved or otherwise processed.

  1. Go to Leave Request History.

  2. Select the relevant leave request.

  3. Open the options menu.

  4. Select Request Details.

  5. Review the request status and other available details.

🤓Tip: Confirm the leave request has been processed before troubleshooting the timesheet.


Absence not showing on the timesheet

Absences cannot calculate on the timesheet if there is no work pattern set for the date of the absence.

  1. Go to WFM Admin > Person Maintenance.

  2. Select the relevant employee.

  3. Select the three-dot menu.

  4. Select Work Schedule.

  5. Select Actions > View Schedule.

  6. Locate the date on which you expect the absence to calculate.

  7. Check that a work pattern is assigned to that date.

  8. Select View next to the relevant period to check the work pattern details.

  9. Confirm that the work pattern has a number of hours associated with it.

If there is no work pattern for the affected date, the absence cannot calculate on the timesheet. Add or correct the work pattern as required, then check the timesheet again.

If an absence, such as sick leave, appears on the Absences screen but is not reflected in the timesheet, check whether the affected timesheet days are locked.

Check for locked timesheet days

  1. Open the employee's timesheet.

  2. Locate the days affected by the absence.

  3. Check for the padlock icon, which indicates that a day is locked.

  4. If the affected days are locked, select the padlock icon to unlock them.

  5. Recalculate the week.

  6. Check the timesheet again to confirm that the absence has been applied.

⚠️Important: Locked timesheet days can prevent absence changes from being recalculated and applied to the timesheet.


Prevent future absence update issues

To help prevent similar issues:

  • Review and approve leave requests promptly.

  • Check for locked timesheet days after making changes to absence records.

  • Recalculate the affected week after unlocking timesheet days.

  • Confirm that the absence is reflected correctly on the timesheet.
