When booking annual leave in PeopleXD Workforce Management, you may see a "rest day" error. This happens when the employee is not scheduled to work on the selected date. You may also see related errors such as "0 Contracted Hours" or "Unable to Determine Absence Duration."
Annual leave can only be applied to scheduled working days, so the system blocks the request if the date is marked as a rest day. Updating the employee's roster for that date will resolve the issue.
Why scheduling errors occur
The error appears when the selected leave date does not contain a working shift in the employee's roster.
This usually happens because:
The employee is not scheduled to work on that date.
The working pattern or shift is missing.
The wrong contract or schedule is being used.
The roster has not been updated in Workforce Management.
Bank holiday scheme settings are not configured to allow leave requests on specific dates.
Once a working shift is added to the schedule, the annual leave request can be submitted successfully.
Before you begin
Before making changes, make sure:
You have access to PeopleXD.
You have permission to view and edit employee schedules.
You know the correct employee and leave date.
The correct contract is selected (if the employee has multiple contracts).
Resolve the rest day error
1. Access the employee schedule
To open the employee's roster:
Open PeopleXD and search for the employee.
Open the employee profile.
Select Actions, then click View schedules.
This will display the employee's roster.
2. Edit the roster
To add a working shift to the affected date:
Locate the date showing the rest day error.
Check whether a working shift is assigned.
Add a working pattern or shift to that date.
Confirm the correct contract is selected.
đNote: Only scheduled working days can accept annual leave entries.
3. Save the schedule
To save your changes:
Click Save and confirm the changes.
Ensure the shift now appears on the selected date.
4. Submit the annual leave request
To resubmit the leave request:
Return to the annual leave request.
Select the same date and submit the leave request.
Save or approve as required.
The request should now process without the rest day error.
đ¤Tip: Always check the employee's roster before booking annual leave. If the employee has multiple contracts, make sure you update the correct schedule, and inform the employee if their shift or roster has been adjusted. If the error continues, check the Workforce Management sync or contact system support.
Additionally, ensure that bank holiday schemes are configured correctly to allow or restrict leave requests in line with your organisation's policies.
