Menu profiles control user access to system functionality in PeopleXD. Users require at least one menu profile to access the system.
The Security dashboard serves as the central hub for managing user access, roles, and menu profiles, providing a streamlined approach to access management.
You can assign multiple profiles depending on the user's role. For example, an employee profile for the Employee Dashboard, a manager profile for the Manager Dashboard, and an hr admin profile for the People Management Dashboard.
Assign menu profiles to a user
To assign or remove menu profiles for a user, watch the video or follow the steps below.
From the dashboard menu, select Security then click User Management. Alternatively, use the search bar to search for 'Security' and navigate directly to the Security dashboard.
On the System Users widget, in the search field, search for the user.
Beside the relevant user, click the three-dot menu then click Manage Account.
Click Menu Profiles.
Use the search field to find a menu profile or use the drop-down filter to display:
All: All menu profiles configured on PeopleXD.
Assigned: Menu profiles currently assigned to the user.
Not Assigned: Menu profiles not assigned to the user.
To assign a menu profile to the user, turn on the Active toggle.
To remove a menu profile from the user, turn off the Active toggle.
Changes save automatically.
Configure the Menu Profile Matrix
The Menu Profile Matrix allows you to automatically assign menu profiles to groups of employees based on rules. There are two types of assignments available:
Assignment type | Description |
Employee Organisation Role | Menu profiles are assigned based on an organisational role. A nightly process identifies employees with a matching role and assigns or removes the profile based on whether the role is active. |
Employee Account Provisioning | Menu profiles are assigned during the self-registration process. If an employee's current substantive contract meets the rule requirements, they receive the corresponding menu profile. |

Regularly review user roles and menu profiles to ensure they align with organizational needs.
Use descriptive names for menu profiles to make them easily identifiable.
Limit access to sensitive features by assigning roles and profiles only to authorized users.
Document changes to menu profiles and access settings for future reference.
