Balance not pro-rating for employee leaving during the balance year

Find out how to resolve the issue when an employee’s balance doesn’t automatically prorate after they leave partway through the balance year

When an employee leaves during the balance year, their entitlement should automatically pro-rate to reflect their leaving date. If this doesn’t happen, it usually means the Apply Target End Date setting isn’t enabled for the balance.

You can update the configuration and recalculate the balance to fix this.

Enable the Apply Target End Date option

Follow these steps to update the balance settings:

  1. Go to CoreTime, then click System Params.

  2. Select Balances, then click Parameters.

  3. Find the relevant balance and click Advanced Parameters.

  4. Click Advanced Pro Rata.

  5. Enable the Apply Target End Date option.

  6. Click Save.


Perform a balance recalculation

After updating the setting, you need to perform a balance recalculation to apply the change:

  1. From the CoreTime menu, select System Params.

  2. Click Balances, then select Recalculate Balances.

  3. Choose the relevant employee or group of employees.

  4. Follow the on-screen prompts to complete the recalculation.
